1. How do we record and submit our dictations?

There are two ways for doctors to record dictations; either dictate into a hand-held digital recorder OR dictate over the phone via our toll-free phone-in feature.

Toll Free Telephone

Simply dial our 1-800 number and leave your dictation over the telephone.

Digital Recorder

Record dictations in your digital recorder.
Transfer dictation files to your computer.
Simply email these to our email address (sign-up for a free trial to get our dictation email address).

 
 
2. What is the preferred dictation options?
We recommend Digital Recorders to all clients, as it gives the liberty to physicians to dictate while they are not near to the computer.
 
 
3. How do we get the transcriptions?

We propose two secured and convenient delivery options.

a. Secure FTP
b. Email (simple or encrypted)

We recommend secure FTP mechanism that puts transcribed reports automatically to your computer with your sign-in. You can then view and print your transcriptions.

 
 
4. How long does it take?
Our normal turn-around time is 12 hrs, but it can be flexible as per client's requirement.
 
 
5. How much does it cost?
Pricing depends on volume of transcription and is governed accordingly. The higher the volume, the lower the rate. We can guarantee you the lowest prices available in the industry today and at the same time, provide you with the highest quality documents.
 
 
6. Are you HIPAA compliant?
  All the data sent over the Internet is encrypted using 128-bit encryption. This is in compliance with HIPAA standards. Additionally, we sign Business Associate agreements with all our clients. Our transcriptionists are also required to sign a confidentiality and non-disclosure agreement (CNDA) to ensure client data secrecy. Finally, all of our transcription is done in our facility and our transcriptionists do not have access to any of the dictations or transcripts outside our facility.
 
 
7. Do you offer a free trial period?
Of course, we offer a free trial of our service for one week.
 
 
8. How do you define a line?
  Transcriptions are generally based on 65-character line count with spaces. Only space between words is counted, while empty lines, tabs, headers, footers, standard templates and hard enters are not counted. We use standard word count utility of MS Word to calculate characters with spaces.
 
 
9. How do we calculate total nos. of lines in a document?
Please select a transcribed document and open it in MS Word 97 or higher. Go to Tools tab->Word Count->statistics and look at “Characters (with spaces)” and divide this by 65 this will give you total nos. of line for the particular word file.
 
 
10. What is the billing cycle utilized?
We raise invoice on the first day of each month for previous month's activity.
